Start by sharing your story

We begin by asking a few simple questions to understand who you are and what you want to achieve. This helps us get a clear picture of your vision and determine if we are the right fit for each other.

Tip: take a moment to consider what you really want to get from this process.

  • Better business processes?
  • Better brand awareness within the community?
  • More customers?

Book a discovery call:

Next, you’ll have a 15-minute chat with our director. This is a relaxed conversation explores your goals and we outline the steps needed to reach them.

Let your people talk to my people!

In reality, you’ll just see a live view of Michael’s calendar where you can easily book a meeting. But hey, let’s dream of the day when we all have virtual assistants handling our schedules!

Prepare for your call

Before the discovery call, we’ll send over a couple of additional questions. These go a little deeper into the specific services, to help us make sure our conversation is laser-focused on what matters most.

Answer your questions now

Receive your proposal

  • Pathway 1: If you’re planning to use a government grant, we’ll ask a few extra questions to ensure our proposal meets all necessary requirements. We will then provide a quote for you to add to your application.

  • Pathway 2: If no grant is involved, we’ll craft a proposal that directly addresses the services you need.

02

Let’s start your engines

Now that we’ve laid the groundwork, it’s time to kick things into high gear!

Kick-off meeting

This is where you’ll meet your project team. But don’t worry, you won’t need to start your story from scratch. Thanks to AI, we’ll have captured and summarised your details from the earlier steps and added it to our smart project management system.

In this meeting, we will:

  • Present the suggested digital strategy, outlining how we’ll approach the specifics of your project.
  • Discuss timelines to ensure everyone is aligned.
  • Get the paperwork in order.

What to bring: Assets like images, logos, brand colours, fonts, and visual elements. If you don’t have these ready, no worries—just let us know during the discovery meeting, and we’ll include it in your digital plan.

Homework: A good plan is to do some research of peers in your industry. Does anyone do it well, or provide lessons to us? Bringing a few links to examples helps us to understand your vision.

Resources: Here is a blog that will provide further information about what you need to start your web project successfully.

Next comes the fun part—design! In this meeting, we’ll share the first visual designs with you, making sure you’re happy with the direction before we proceed.

Ongoing support

Whether we’ve launched your website or kicked off your digital advertising campaign, the next step is crucial—ongoing support. We will provide comprehensive training and product handover, including:

  • Training videos: Easy-to-follow guides for your team.
  • Ongoing support packs: Continued assistance as you grow.

Website essentials: Don’t forget about hosting and domain requirements.Learn more in our blog.

We may also offer a service level agreement. This is usually for our enterprise sites, where organisations need to know what the ongoing support arrangements are, for this link security and updates.

Your holistic digital approach

If we’ve built your website, it’s time to think about the bigger picture. Consider enhancing your digital marketing strategy, including:

  • Social media planning: Engage your audience where they are.
  • Targeted social advertising: Reach the right people at the right time.
  • Search Engine Marketing (Google and others): Improve your visibility online.
  • SEO: Ensure your site is optimised for search engines.
  • Digital communications, such as e-newsletters.

We also set up Analytical Reports to help you understand how your website is performing and who it’s reaching.

If we have run some digital ads for you, part of our process will be to consider how your website is contributing to the conversions. This might include building landing pages or a contact form. We want to make sure the process for determining success is clear.

One-month review

Schedule a one-month review to assess the process, discuss any additional training needs, and explore ways to continue optimising your digital strategy. This ensures that your digital journey continues to evolve and deliver results.

One-month review: Expanding your digital strategy

During your one-month review, we’ll not only assess how things are going but also explore how digital communications can further support your business.

Here are some areas to consider:

Boost underperforming products/services - Identify areas that need more attention and strategise how digital marketing can help.

Improve business processes - Is manual data processing causing inefficiencies? Automation might be the solution.

Streamline customer interactions - Reduce double handling of information with web forms that send data to multiple addresses.

Training needs - Would your team or customers benefit from training? Captovate’s eLearning team can help.

This is the time to consider if there are any new business initiatives where digital solutions could play a role, such as launching a new service, enhancing customer support, or integrating new technologies to stay ahead of the competition. This is an opportunity to ensure that your digital strategy evolves alongside your business needs.

Change in service requirements

As your business evolves, so do your service needs. Whether you’re expanding, pivoting, or simply refining your offerings, we can adapt your digital strategy to support these changes effectively.

Tip: Your website doesn’t always need a full rebuild to stay fresh and effective. We can work with the existing structure of your site—using its "bones"—and give it a new look or reorganise it to better suit your current needs. Whether it’s a visual update or a strategic restructure, we can work with you to make it fit for purpose, as efficiently as possible.
